Grays Harbor County Clerk Records

The Grays Harbor County Clerk's Office maintains records from 1860 to the present. Records exist in original form, on microfilm, or as electronic images depending on the age of the file. Record types maintained include civil case files, criminal case files, last will and testament, probate case files, tax cases, declarations of citizenship, naturalization proceedings, naturalization records, petition and record of naturalization, and petitions for citizenship.

Current case files -- those not yet completed or with outstanding issues -- are kept at the clerk's office. Closed cases are stored at another facility. To view a closed case from off-site storage, you must submit a request first. The file will be retrieved within three days. Confidential case types include dependency, truancy, paternity, mental, and adoption files. Open file types include criminal, juvenile, civil and dissolution, and probate cases.

Birth, death, marriage, and divorce certifications are not available through the clerk's office. Those records are obtained through the Washington State Department of Health, Center for Health Statistics, or via the VitalChek Network. For all other court records, the clerk's office at graysharbor.us is your primary point of contact.

Requesting Grays Harbor Court Documents

Access to public court documents, court hearing audio, and other court records can be done online, in person, or by mail. The clerk's office does not accept requests over the phone. For transcripts, you need to contact the court reporter at (360) 964-1853. All requests must be submitted in writing.

Printing copies of court documents costs $0.50 per page under RCW 36.18.016(4). Electronic copies sent by email cost $0.25 per page with a minimum charge of $1.00. Certified copies are $5 for the first page and $1 for each additional page, sent via USPS with shipping, handling, and envelope fees added. Electronic audio recordings cost $25.00 per case number and hearing date. Most audio is sent via an electronic link, and you should allow up to three weeks for processing since the courtroom may be unavailable during that time. Audio is only available for hearings held in Department 3, because other departments use a court reporter instead.

For older documents that require extra work to locate, an investigation fee of $30 per hour applies. These older records will not be sent by email. They must be printed and sent by USPS with shipping fees. Refunds cannot be processed for paid requests, so be sure your request is accurate before submitting. Adoptions are sealed and confidential. If you are searching for birth parents, the Washington Adoption Reunion Movement (WARM) is the appropriate resource. The clerk's office cannot assist with sealed adoption records. Public computer access to Odyssey is available in the clerk's office under specific hours. Under RCW 2.32.050, all computer use is limited to 10 minutes per day to ensure fair access. The computer is turned off at 4:30 PM each day. Monday and Friday have limited public computer hours due to high-demand processing times. Tuesday through Thursday, the computer is available from 8 AM to 11 AM and from 2 PM to 4:30 PM.

Grays Harbor District Court Records

The Grays Harbor County District Court handles misdemeanor, gross misdemeanor, traffic infraction, and small claims cases. Case records include case files, dockets, calendars, and court orders. To request District Court records, fill out a court records request form and email it to dcrecords@graysharbor.us. The court charges 50 cents per page for printed copies. Certified copies are $5 for the first page, then $1 for each additional page.

Copies of court proceedings are provided on CD at a cost of $20 per CD. If the request requires the court to generate a report from the Judicial Information System (JIS), the charge is $25 per report. Research fees are $40 per hour if research is needed. Administrative records, which relate to the management or administration of the court rather than specific cases, are governed by court rule GR 31.1. To request administrative records, use a separate administrative records request form and follow the same submission instructions as for court records.
